CAJA Friends, Inc., operating as CAJA of Madison County (“CAJA,” “we,” “us,” or “our”), respects your privacy. This policy explains what information we collect through caja4kids.org, how we use it, and the choices you have.

Information We Collect

Volunteer Application

When you complete the Volunteer Application on our Become a Volunteer page, we collect the information you provide: name, date of birth, sex, phone number, email, address, background/eligibility question responses, how you heard about CAJA, education, employment, availability, and reference contact information. This form does not store submitted data in a searchable database on our website — each submission is sent as a single notification email to our volunteer coordination team and is not otherwise retained on the site itself.

Note: this online form is a pre-screening step only. If you move forward as a volunteer, you’ll complete Alabama’s official state application (Form PERS-23) in person, which is handled entirely outside this website and is not affected by this policy.

Partnership Inquiry Form

When you submit the Partnership Inquiry form on our Partner With Us page, we collect your organization name, contact name, email, phone number, interest area, and message. This is sent as a notification email to our team and is not stored in a public-facing database.

Contact Form

When you use our Contact page form, we collect your name, email, and message, sent as a notification email to our team.

Resources Account Registration

Our Resources section (training materials and Sidebar Session videos) requires creating a free account with an access code, email address, and a password you choose. Unlike our other forms, this creates an actual user account stored on our website so you can log back in. We use this only to manage access to volunteer resources — we do not use it for marketing or share it with outside parties.

Information Collected Automatically

Like most websites, we use Google Analytics (GA4) to understand how visitors use our site — including which pages you view, general location, device type, and actions like submitting a form or clicking a donate button. This is aggregate, anonymized-where-possible usage data — we don’t use it to identify individual visitors. We also use Google reCAPTCHA on our Resources registration, login, and password reset forms to prevent automated spam and abuse.

How We Use Your Information

  • To respond to volunteer applications, partnership inquiries, and general questions
  • To manage access to our password-protected Resources section
  • To understand and improve how people use our site
  • To protect our site and forms from spam and abuse

We do not sell, rent, or trade your personal information to third parties, and we do not use it for purposes beyond what’s described here.

Donations

Donations made through our Donate page are processed entirely by Zeffy, our third-party donation platform — payment information (card numbers, billing details) is handled directly by Zeffy and is never collected, transmitted through, or stored on caja4kids.org. Zeffy’s own privacy policy governs that data; you can review it at zeffy.com/privacy-policy.

Video Content

Videos in our Resources section are hosted as unlisted videos on YouTube and embedded on our site. Viewing these videos may involve data collection by YouTube/Google under their own privacy policy.

How We Protect Your Information

Our site uses HTTPS encryption for all traffic, and our Resources registration and login pages are protected by reCAPTCHA and password authentication. We limit access to submitted form data and account information to the CAJA staff and volunteer coordinators who need it to do their jobs.

Data Retention

Form submissions (Volunteer Application, Partnership Inquiry, Contact) exist only as email notifications to our team’s inbox and are retained according to our normal email retention practices — they are not stored in a separate database on the site. Resources account information is retained for as long as your account remains active; you may request account deletion at any time by contacting us below.

Children’s Privacy

This website is intended for adults — prospective volunteers, donors, and community members — not for use by children. We do not knowingly collect personal information directly from children through this site. Consistent with our mission, we never publish identifying information, images, or case details about the children CAJA serves anywhere on this site.

Your Choices

You can decline to submit any form on our site — none of our core content requires providing personal information to view it, with the exception of Resources account access. If you have a Resources account, you can request an exported copy of the personal data we hold about you, or request that we erase it, at any time by contacting us below. This does not include information we’re required to keep for administrative, legal, or security purposes. If you request a password reset for your Resources account, your IP address is included in the reset email as a standard WordPress security measure.

Changes to This Policy

We may update this policy from time to time as our site or practices change. The “Last updated” date at the top of this page reflects the most recent revision.
